Managing User Permission Roles

Introduction


Roles define the access and update rights that users have within the system.  This article will explain:


  • Location of Roles
  • Adding a role
  • Editing a role
  • Deleting a role


Location of Roles


StepDescription
1Log into any site within the domain.
2Click on the username on the top right of the screen to show a dropdown menu.
3Select Settings.
This will take you to the Settings menu.
4Select Access Control. The roles are visible in the second table displayed in this screen.
5Click on a row in the table to display the configuration of the role in a pop up window.


Adding a Role


StepDescription
1Follow the steps 1 to 4 described in Location of Roles.
2Click ADD ROLE option.  A pop up window will be displayed.
3In the Name field, enter a name to describe the role that you are setting up e.g. Local IT or Hotel Staff.
4In Role Homepage select from the list the page that the user will be directed to when they log in. If it is left blank it will use the default homepage which shows the site dashboard.
5The permissions then need to be applied against the module.  Check the relevant option

None means the role does not have access to the module.
Read means they cannot add, delete or edit data in that module.
Read/write means that the user can add, delete and edit data in that module.

At the bottom of the list, you can click Toggle all in the column to select all checkboxes.
6Click Save.


Editing a Role


StepDescription
1Follow the steps described in Location of Roles.
2Change the access permission as desired.
3Click Save.
The update to the access will be available the next time the user logs in.


Deleting a Role


StepDescription
1Follow the steps described in Location of Roles.
2Check that there is no user assigned to that role.
3Click DELETE.  A confirmation message will be displayed.  Click Yes to continue deleting the role.
If the role is still applied to a user, the deletion will not be permitted. You would need to ensure that any user with that role has had their role changed to something else.
